Refund and cancellation
These rules apply to Portalcove cohorts, workshops, labs, and mentorship memberships. They do not cover products or shipping—we do not sell physical goods through this site.
Eligibility overview
Refunds depend on how early you cancel, whether a seat can be filled, and how much preparation or facilitation has already begun. Informal verbal holds are not confirmed enrollments; a written confirmation or paid invoice starts the engagement clock.
Full refund window
Cancel in writing at least 14 days before the published start date of an open cohort, studio, lab, or mentorship period, and we refund 100% of tuition paid for that engagement, minus any non-refundable third-party venue fee we disclosed in your confirmation.
Partial refund window
Cancel between 13 and 7 days before the start date and we refund 50% of tuition. Within 6 days of the start date, tuition is non-refundable unless Portalcove cancels the session.
Non-refundable items
Administrative booking fees listed separately on an invoice, customized materials already produced for a private team studio, and mentorship months already delivered are non-refundable. Deposit amounts marked “non-refundable” on your confirmation remain non-refundable after the deposit due date.
Portalcove cancellations
If we cancel a session for instructor illness, venue failure, or insufficient enrollment, you may choose a full refund or a transfer to a later date at no extra tuition.
Rescheduling
You may request one complimentary transfer to a later cohort of the same offering if seats exist and you notify us at least 10 days before the original start. Additional transfers may incur a 10% reschedule fee.
Deposits
Private studios may require a deposit to reserve facilitator time. Deposits are credited toward the final invoice. If you cancel after the deposit due date but still inside the full-refund tuition window, the deposit may be retained as liquidated preparation cost when stated in your confirmation.
No-shows
Failure to attend without prior written cancellation is treated as a late cancellation. No refund is issued for unused seats on the day of training.
Work already started
For private studios where discovery calls, document review, or custom canvases have already begun, we bill for completed preparation at the hourly preparation rate stated in your confirmation and refund only unused facilitation days.
Purchased materials
Printed workbooks or licensed tool access purchased as add-ons are refundable only if unused and returned (or access unused) within 7 days of purchase and before the session starts.
Refund process and timing
Email hello@portalcove.click with your invoice number and reason. We confirm eligibility within 5 business days. Approved refunds are returned to the original payment method within 10–15 business days after approval. Bank transfer refunds may take longer depending on your bank.
Exceptions
Documented medical emergencies or mandatory military duty may qualify for a goodwill transfer or partial refund outside the windows above, reviewed case by case. Employment changes alone do not create an automatic exception.
